Many groups collect money on WhatsApp: monthly dues, rotating savings, wedding and funeral contributions, team fees or a leaving gift. Scammers only need one convincing message to redirect those payments.

Treasurer rules

  1. One account, fixed in advance. Announce it at a meeting or official notice, and pin it in the group.
  2. Changes only by voice. Any change of account is confirmed by a call from the treasurer and one other organiser.
  3. Two people see the records. A second organiser can view statements or the collection list.
  4. Receipts from the account, not the chat. Confirm each payment against the statement.
  5. Clear end date. Say when the collection closes, so late "reminders" stand out.

Member habits

  • Pay only to the pinned account.
  • Ignore private messages asking you to pay somewhere else.
  • Share the payment reference with the treasurer, and be wary of anyone sending you screenshots as proof. See fake payment screenshots.

"The account has changed, please use this one" is the message to stop and check, even if it comes from the treasurer's real number. Their account could be hacked. See hacked accounts asking for money.

Admin settings that help

Only admins should be able to edit the group description where the account is pinned. See group admin safety.

Frequently asked questions

What is the most important rule?

One fixed payment account, announced in person or through an official channel, that never changes by message.

How should members confirm payments?

Share the payment reference, not screenshots alone, since screenshots can be faked. The treasurer confirms receipt against the account statement.

What if the payment account needs to change?

Announce it at a meeting or by a call from the treasurer and another organiser, never only in the chat.
